This policy explains what personal information we collect when you order from us or use this website, how we use it, and the rights you have over it.

Active Chef Wok (“we”, “us”, “our”) runs this online-ordering website and is the data controller for the personal information described here.

The information we collect
- Order details — your name, phone number, email (if given), delivery address (for delivery orders) and any notes you add to an order. We collect these even if you check out as a guest, because we need them to prepare, fulfil and confirm your order.
- Account details — if you create an account: your name, email, phone (optional) and a securely hashed password. We never store your password in readable form.
- Order & payment records — what you ordered, the amounts, the payment method and payment status. Card payments are handled by our payment provider; we do not store your full card details.
- Loyalty — your points balance and points history, if you use a loyalty account.
- Marketing preference — whether you have opted in to marketing emails.
- Technical & security data — essential cookies, your IP address and basic request information, which we use to keep the site working, prevent abuse and apply rate-limiting. See our Cookie Policy.
How and why we use it
Under UK GDPR we must have a lawful basis for using your information. Ours are:
- To take and fulfil your order (prepare food, arrange collection/delivery, take payment, send order confirmations and status updates by SMS/email) — this is necessary to perform our contract with you.
- To run your account and loyalty programme — performance of a contract and, where relevant, your consent.
- To send marketing emails about offers and news — only with your consent, which you can withdraw at any time (every marketing email has an unsubscribe link, and you can change the setting in your account).
- To keep the website secure and prevent fraud, abuse and excessive automated requests — our legitimate interests in protecting our business and customers.
- To meet our legal obligations — for example keeping accounting and tax records.
Who we share it with
We do not sell your personal information. We share it only with service providers who help us run the business, and only as needed:
- Payment processing — our card payment provider (e.g. Revolut), when you pay online by card.
- Text messages — our SMS provider (e.g. Twilio), to send you order updates.
- Email delivery — our email provider, to send confirmations and (if opted in) marketing.
- Hosting — the provider that hosts this website and its database.
- Embedded content — when you allow non-essential cookies, video embeds (TikTok, Instagram, YouTube) and Google services may load and set their own cookies. See our Cookie Policy.
We may also disclose information where required by law, or to establish, exercise or defend legal claims.
Sending data outside the UK
Some of our providers may process data outside the UK. Where they do, we rely on appropriate safeguards (such as UK adequacy regulations or the International Data Transfer Agreement) so your information stays protected.
How long we keep it
- Order & payment records: retained for around 6 years to meet HMRC/accounting requirements, then deleted or anonymised.
- Account information: kept while your account is active. If you delete your account, we erase your personal details and keep only anonymised order records that we are legally required to retain.
- Marketing consent: kept until you withdraw it.
- Security logs: kept for a short period only.
Your rights
Under UK GDPR you have the right to:
- access a copy of your information;
- have inaccurate information corrected;
- have your information erased (“right to be forgotten”);
- restrict or object to how we use it;
- data portability (receive your data in a usable format);
- withdraw consent at any time, where we rely on consent.
If you have an account, you can download your data and delete your account yourself from your account page. You can also exercise any of these rights by emailing activewok@activechefwok.com. We will respond within one month.
Cookies
We use a small number of essential cookies to make the site work, and (only with your consent) some third-party cookies for embedded content. Full details are in our Cookie Policy.
Children
This service is intended for adults placing food orders. We do not knowingly collect information from children under 16.
Changes to this policy
We may update this policy from time to time. The “last updated” date above shows when it last changed.
